Every day, AD Sverige receives dozens of orders, which are manually processed by employees. In response to the company’s continuous growth, it was decided to free their staff from the routine and let them focus on what really matters—providing better service to customers.

The company needed a solution to streamline this email triage process while reducing human error and freeing time for high-value tasks. This created an opportunity to explore how AI-powered process automation could optimize their workflow and improve operational efficiency.

Solution

AI-powered automation of order management 

To help AD Sverige overcome the inefficiencies of manual order processing, UAI Labs implemented an intelligent automation solution powered by the UiPath Platform. The goal was to streamline the company’s email triage and order management, reducing manual workload while ensuring accuracy and efficiency. Rather than approaching automation as a one-off fix, UAI Labs designed a scalable solution that could serve as a foundation for broader digital transformation efforts.

How does it work?

As soon as new orders arrive, the robot detects them, downloads attached PDFs, and processes them based on AD Sverige’s specifications. This guarantees that every order is handled quickly and accurately without requiring human input.

Instead of requiring an employee to manually enter data, the robot processes the order details and sends them directly to the CRM, ensuring accuracy and eliminating delays. Once processed, the system organizes the PDF in the appropriate folder and marks the email as completed, maintaining a structured workflow.

For exceptions or unclear cases, the order is forwarded to the IT department, ensuring prompt attention from one of the team members. This hybrid approach prevents bottlenecks while maintaining operational oversight.

Beyond order processing, we deployed an AI-driven email triage system that categorizes and routes incoming emails to the appropriate teams. By using UiPath Communication Mining, the system learns from email patterns, improving its classification accuracy over time. To fine-tune the AI, we conducted multiple training rounds with real emails, refining its ability to distinguish between different types of inquiries.

After UAI Labs developed the solution, AD Sverige was able to quickly realize the value of automating the order management process:

With the automation, the time AD Sverige spends on manually sorting and processing incoming emails was drastically reduced, making the process 12x faster. As a result, the company saved 50% of FTEs and shifted them to customer service, significantly enhancing the customer experience. Freed from routine administrative tasks, the team can now focus on more strategic, high-value work.

Improved Accuracy

The company reduced human errors that could occur with manual data entry. Customer inquiries are now consistently routed to the correct teams, while order details are extracted and processed with 100% accuracy, ensuring that no information is lost or misinterpreted.
