David Lloyd Leisure partnered with UAI Labs to transform one of the most operationally complex areas of the fitness and leisure industry: programming and timetable optimisation across hundreds of clubs, thousands of weekly classes and multiple activity categories including group exercise, swimming, racquets and kids programmes.
Club activity teams were responsible for balancing participation, occupancy, labour optimisation, instructor utilisation and member experience while coordinating highly complex timetables across multiple studios, courts and activity spaces. Despite having large volumes of operational data available, the scheduling process remained heavily manual, reliant on spreadsheets, fragmented reports and significant administrative effort from already stretched operational teams.
UAI Labs designed and implemented an AI-powered programming and scheduling platform that centralised operational data, analysed performance trends and delivered intelligent timetable recommendations directly to club teams. The solution consolidated data from multiple operational and reporting sources into a single interface, providing visibility into participation trends, occupancy performance, labour utilisation and programming effectiveness across the estate.
The platform was designed to augment operational decision making by helping teams:
- Identify timetable optimisation opportunities
- Improve class occupancy and participation
- Highlight underperforming schedules and operational gaps
- Align programming against operational KPIs and standards
- Reduce manual timetable administration and data handling
- React faster to changing member demand patterns
AI-driven recommendation capabilities enabled clubs to proactively improve schedules based on performance data and operational trends, while automation reduced the manual effort associated with timetable management and downstream system updates.
The programme delivered measurable operational benefits, including:
- Improved class occupancy and utilisation across pilot clubs
- Increased group exercise participation through AI-enabled optimisation
- Significant reduction in manual timetable administration effort
- Faster identification of scheduling inefficiencies and operational improvement opportunities
- Improved operational responsiveness and decision making
Beyond the operational gains, the initiative helped establish a more intelligent and data-driven operating model across programming and activity management. Rather than relying on disconnected reporting and manual analysis, operational teams were empowered with proactive, AI-supported decision making embedded directly into day-to-day workflows.
The programme demonstrated how AI can move beyond traditional reporting and automation to support real-time operational optimisation at scale, establishing a strong foundation for future AI and agentic operational capabilities across the wider organisation.
